Create and Manage Contacts

Overview

Contacts are used in many areas of the system to manage clients and other parties relevant to a matter. 

Contact information is used in many areas such as precedent and letter automation.  It is best practice to complete as much details as available to make the most out of the features.

Add a new contact card

1. From the EvolveGo tab, select New Contact.


 


2. Select whether the contact is for an Individual or an Organisation. The available fields will vary depending on your selection. 



3. Enter all the information available to you.


4. Additional details such as Date of Birth, National Insurance Number and Nationality can be entered via the Advanced View. Additionally, Verification of Identity (VOI) information can be added.


 

5. The Advanced View will also display a tab showing any Matters the contact is involved in and a Safe Custody tab for the contact.



6. Once all details have been entered, click Save.

 

 

Add a new contact card from a Matter

Once a matter is created, the Matter Details section will contain a number of fields for contacts to be entered. Selecting the 'plus' symbol will open a new contact card and the contact can be created by following the above steps. 



 

 

View and edit existing contacts

1. Select Contacts from the options on the left menu.



2. You can use the filters such as Clients or Solicitors to sort the list of contacts or scroll through the list of contacts to find the name of the contact to select. 


3. Alternatively, in the Quick Search option type in the name of the contact and select it. It is important not to hit the enter key as this will open the Advanced Search screen.



4. Open the Contact Card and make the required changes.


5. Click Save. 

 

 

Adding additional individuals to a contact card

In matters such as Conveyancing, you may need to add extra people to an existing contact card if they are currently living at the same address. 

1. Open the existing contact card. 


2. Select Add another contact at the same address from the left hand panel. Complete the details of the addition party and click Save.


 


 

Adding Tags to a Contact card

Contacts can have tags added manually to assist your firm in identifying contacts quickly. For example, Marketing purposes for Emails or Post, Gifts/cards around annual holiday periods. The system will automatically add tags regarding roles assigned to a contact in Matters. A contact can have many additional tags added. 


1. Open the contact card.


2. Any existing tags will be displayed.  To add additional tags click on the + symbol on the right hand side. 

 


3. As you begin to type any existing tags will be shown and can be selected. If you need to create a new Tag, finish entering the details, press enter and it will be created.


 

Remove or Rename Tags

A tag can be renamed or removed from a contact card simply via a Right Click on the tag. 


Rename will rename the tag across all contacts that it has been added to. Remove will delete the tag from the contact you have opened only. 


Delete a Contact

1. Open the Contacts screen and find the select the one you want to remove.


2. Right click on the contact.


3. Select Delete from the menu.


 


4. The system will prompt you to confirm that you want to delete the contact. Click Yes.



5. If the contact had been assigned to any matters open the matters and update to the correct contact. 

 

Contacts cannot be permanently deleted from EvolveGo, any deleted contacts can be displayed by right clicking anywhere in the Contacts tab and selecting Show Deleted. These contacts can then be restored by right clicking on the contact and selecting Restore.
