Posting a Transaction from an Approved Requisition

Overview

Once a Requisition has been approved it will then move to the posting queue for the accounts team to post to the ledgers accordingly.

This guide will show where the accounts team can view that queue to complete these postings.

Posting a transaction from an Approved Requisition


Payment Request


1. There are two options in the system of where you can view approved requisitions that are ready to be posted.

    Option 1: Click on the Requests & Approvals Menu at the top right of the screen.


    Option 2: Via the Watch List Widget 



Whichever option of the two that you choose to view the items to be posted, will take you to the same screen as shown in step 2.


2. The Requests & Approvals screen will open.  Select the Ready to Post menu which will list the outstanding approved requests requiring processing.


3. To view the details click on the ellipsis to the right of the line and select View.



4. To create the payment, click on the ellipsis to the right of the request line and select Create Payment.


5. When the Payment screen opens check the information is correct and add/amend any additional information required, such as the payment method or bank details.


6. Click Post in the bottom right of the screen.



Purchase Request


When looking at a Purchase Request you can either create a Purchase Order or a Purchase posting the following steps will take you through both these options


Creating A Purchase Order from a request


1. Click on the Requests & Approvals Menu at the top right of the screen.


 

2. The Requests & Approvals screen will open.  Select the Ready to Post menu which will list the outstanding approved requests requiring processing.



3. To view the details click on the ellipsis to the right of the line and select View.



4. To create a Purchase Order click on the ellipsis to the right of the line and select Create Purchase Order.



5.  When the Purchase Order screen opens check the information is correct. Add any additional information, such as the Tax Code.



6. Where Notify Supplier is ticked, an email will be sent to the supplier with the Purchase Order. 



7. Click Create Purchase Order.




Creating A Purchase from a request


1. Click on the Requests & Approvals Menu at the top right of the screen.

 

2. The Requests & Approvals screen will open.  Select the Ready to Post menu which will list the outstanding approved requests requiring processing.



3. Select Add Filter and select Type.  Tick Purchase to narrow down the list to only Purchase type requests. Select Apply to apply the filter. 



4. To view the details click on the ellipsis to the right of the line and select View.


5. To create the purchase, click on the ellipsis to the right of the request line and select Create Purchase.


 

6. When the Purchase screen opens check the information is correct and add or amend any additional information required, such as the invoice number.



7. Click Post in the bottom right of the screen.



Posting a receipt from a Receipt Request


1. Click on the Requests & Approvals Menu at the top right of the screen.

 


2. The Requests & Approvals screen will open.  Select the Ready to Post menu which will list the outstanding approved requests requiring processing.



3.  Select Add Filter and select Type.  Tick Receipt to narrow down the list to only Purchase type requests. Select Apply to apply the filter. 



4. To view the details click on the three dots to the right of the line and select View.




5. To create the payment, click on the ellipsis to the right of the request line and select Post Receipt .



6. When the Receipt screen opens check the information is correct and add or amend any additional information required.



7. Select Post in the bottom right of the screen.


Cancelling a Receipt Request


To cancel the request click on the ellipsis button to the right of the line and select Cancel.



View History


All outstanding, processed and cancelled requests can be viewed via the History tab.  Filters can be added to narrow down the transaction.
