Creating Workflows

Overview
A Workflow is a series of tasks. Workflows help eliminate extra admin work by allowing you to automatically designate tasks which happen for every matter.
The best way to determine what workflows to set up for your practice, is to think about what areas of your current process are repetitive. If you are completing the same tasks for every matter of a specific type, it's best to set up a workflow.
How to Create a Workflow
1. Open the main Settings cog and, on the Workflows tab.
2. Click Add new.
3. Initial set up of the workflow:
- Enter a name for the Workflow (eg, Purchase)
- Designate the relevant matter type/s and check "always apply this Workflow to new Matters" (recommended).
This option is helpful if you have recurring tasks that apply to specific/every matter of this type.
Note: You can choose to apply a workflow to matters later on.
4. Click on New Task, then;
Enter task Name.
Select a Due date, based on a number of days before, after or on a critical date, or upon completion of another task in the workflow.
Assign the task. It is recommended you select Person Responsible or Person Assisting. Therefore, if someone leaves your firm, once the matters are re-assigned, the tasks will also re-assign. If you select a specific staff member by name, tasks will not re-assign. If you need to assign to multiple people, select Staff.
5. You can also enter a Category for this task. Later, you can use these categories to filter your list of tasks to only show particular ones. Categories, Details (any additional information for the task) and Hours (the expected time to complete the task) are not compulsory to fill in.
6. A Form or Precedent letter can be linked from the Precedent Library to a task within a workflow.
7. Repeat the above steps until you have built the Workflow with all the necessary tasks.
8. Reorder the tasks by selecting the task and using the up/down arrows.
9. Once all tasks are entered, select "Save & Close" to complete the workflow.
To duplicate, delete or export a workflow right click on the individual workflow.
